Quantity planning
Count tables, artwork versions and event zones as well as guests
The number of centerpieces is normally driven by the room plan and tables that actually need them. Guest count helps estimate tables, but it is not the final production quantity.

Build the count
Start with every table or location that needs a visual piece
Use the latest floor plan and list dinner tables, cocktail tables, registration, bars, buffets, sponsor areas, green rooms or VIP spaces where a centerpiece is actually intended. Then separate each artwork version or size.
- Dinner and banquet tables
- Cocktail and networking tables
- Registration and welcome areas
- Bars, buffets and service points
- VIP, sponsor and speaker tables
- Stage, entrance or focal-point pieces
Artwork versions
The total can be correct while the mix is wrong
When sponsor levels, table numbers, departments, products or zones use different graphics, list each artwork version and quantity. The total should match the order and room plan.
- Version ID and artwork name
- Quantity by version
- Table or zone assignment
- Sponsor or message hierarchy
- Final approved proof reference
Contingency
Decide intentionally whether extras are needed
Extra quantity is not automatically required or automatically wasteful. Consider late table changes, venue damage risk, shipping, customer setup, available spare components and the cost of being short. The final contingency should be approved for the specific event.
Frequently asked questions
Useful answers before you choose
Is the number of centerpieces the same as the number of tables?
Often, but not always. Some tables may share a design, use a different décor treatment or require multiple pieces. Other event areas may also need centerpieces.
How do I estimate before the seating chart is final?
Use the current expected guest count and table plan as a working estimate, then confirm the final table and version counts before production release.
Should I order extra centerpieces?
It depends on event risk, table changes, setup responsibility, shipping and component availability. Decide the contingency deliberately.
Can different tables have different artwork?
Yes. Use an artwork version list so quantities, proofs and table assignments remain accurate.
